Job Summary

The University of Colorado's Institute for Behavioral Genetics(IBG) seeks a highly organized Senior Grant Management Specialistto provide crucial financial and operational support. This vitalrole involves guiding Principal Investigators (PIs) through theentire grant lifecycle, from proposal development to post-awardmanagement. Responsibilities include ensuring the timely andaccurate preparation of proposals, annual reports, no-costextensions, and final reports. This role is critical for IBG'scontinued success in securing and managing external funding.

Who We Are

The Institute for Behavioral Genetics (IBG) is an organizedresearch unit of the University of Colorado Graduate Schooldedicated to conducting and facilitating research on the geneticand environmental bases of individual differences in behavior.Founded in 1967, IBG is one of the top research facilities in theworld for genetic research on behavior. Data collection andanalysis are ongoing for several internationally renowned studiesincluding the Colorado Adoption Project, the Colorado TwinRegistry, the National Youth Survey Family Study, the ColoradoLearning Disabilities Research Center, and the NationalLongitudinal Study of Adolescent Health. IBG is home to one of thenation's largest DNA repositories for research on human behavior,as well as housing a wide array of behaviorally and geneticallydefined lines of selected, recombinant inbred, transgenic, andknockout­ gene mice. Current research includes studies of aging,neurodegenerative disease, psychopathology, reading and learningdisabilities, cognition, substance abuse, behavioral development,and evolution.

What Your Key Responsibilities Will Be

Grant Proposals and Reporting

  • Create and manage a calendar of key due dates for proposals,reports, and other grant-related activities.
  • Monitor and proactively communicate funding announcement cyclereminders and progress report due dates, advising faculty of keytimelines.
  • Determine what is required for each proposal from thecorresponding Notice of Funding Opportunities (NOFO) and reportfrom InfoEd and work with PIs to capture, update, and preparedocuments for OCG review.
  • Maintain a comprehensive grant database to streamline proposalapplications and annual/final reports.
  • Ensure that proposal documents are consistently up-to-date andaccurate, including other support documents, bio sketches,facilities documents, Institutional Animal Care & Use Committee(IACUC), Institutional Review Board (IRB), and CollaborativeInstitutional Training Initiative (CITI) certification.
  • Initiate the Proposal Submission Request (PSR) process inInfoEd and submit progress reports and final reports coordinatingnecessary information with project PIs, subrecipients, and theChief Financial Manager.
  • For sub-awardees, establish and coordinate appropriatetimelines and the collection of their institution’s proposals andreports, tracking documents that are received and reviewing forcomplete and accurate information. Request modifications andcorrections from the sub-awardees as necessary. Provide threemonths, two months, and one month reminders.
  • After reviewing Office of Contracts and Grants markup, editproposals and reports, and gather final documents from thePrincipal Investigator.
  • Responsible for the coordination of all follow-up responses tothe proposal and requests for action in the ERA commons (e.g.,Just-In-Time, Conflict of Interest, Other Support Document).
  • Coordinate the transfer of sponsored projects when a PItransfers to the University of Colorado.

Budget Preparation

  • Develop proposal budgets and budget revisions in partnershipwith the Principal Investigators and Chief Financial Manager usinguniversity templates, including multiple budgets for internal CUprocesses with integration into appropriate full proposal andResearch Performance Progress Reports (RPPR) budgets forsubmission.
  • Interpret the needs articulated by the PI and other researchpersonnel to build the appropriate budgets for proposals and RPPRsensuring adherence to internal and funding agency guidelines.
  • Provide the PIs with appropriate budget justification templateswith updated budget information specific to their submission andcoordinate additional information with PIs ensuring the document isfully compliant.
  • Complete funding agency budget forms and other submissiondocuments.
  • Forward the completed Budgets and Budget Justifications to theChief Financial Manager and OCG proposal analyst for approvals andchecks. Make corrections and obtain approval from the reviewer onthose corrections.

Post Award

  • Work collaboratively with the Office of Contracts and Grantsand the setup team to ensure the award setup accurately reflectsthe terms and conditions of the award, subawards are set up ontime, and funds are accurately split between projectcomponents.
  • Review and track expenditures against the approved budget toensure funds are being spent appropriately using CU financialreports and IBG shadow reports.
  • Meet with PIs to provide project financial reports, and workwith the Chief Financial Manager to resolve project fundingissues.
  • Request extensions and supplemental funding requests.

Administrative Support

  • May occasionally serve as backup for the front office byanswering the phone, signing for packages and other deliveries,answering employee and visitor questions, etc.
  • Assist with IBG event planning for invited speakers, studentfunctions, employee recognition events, and recruitmentfunctions.
  • Assist with student recruitment (e.g. help transport studentsto the main campus for meetings within their academic departments;assist with scheduling meetings; meet caterers and check cateringmenus, etc.).

What You Should Know

  • After the initial training period, which will be fully on-site,this position offers the opportunity for a hybrid work scheduleincluding up to two days of remote work per week.
  • A fully on-site work modality is also available.

What We Can Offer

The hiring range for this position is $65,000-$85,000 annually.Relocation is available for eligible candidates.

  • Bachelor’s Degree and three years of experience working inresearch administration or finance-related fields, or equivalentcombination of education and experience.

What We Would Like You to Have

  • Five years of experience working in research administration orfinance-related fields including at least two years of experienceworking with Federal grants.
  • Knowledge of NIH grant policies and procedures includingfamiliarity with compliance requirements, financial reporting, andprogress documentation.
  • Experience with various financial systems (i.e. PeopleSoft,Concur, Marketplace, HCM, InfoEd, mFin, eRA Commons, and NIHAssist).
  • Experience with Excel spreadsheets, Microsoft Word, AdobeProfessional, and/or similar software.
